NBCC Venue – Refund Policy

Effective: August 1, 2025

This Refund Policy explains how deposits, fees, and rental payments are handled for all events scheduled at NBCC Venue, operated by New Beginnings Christian Church. By booking with NBCC Venue, you agree to the terms below.

1. Deposits

1.1. Non-Refundable Deposit
All reservation deposits are non-refundable, regardless of reason, unless explicitly stated otherwise in writing.

1.2. Transfer Eligibility
If your event is canceled more than 14 days prior to the scheduled date, your deposit may be transferred to a future event date, subject to calendar availability.

1.3. Forfeit of Deposit
Cancellations made within 14 days of the event date result in complete forfeiture of the deposit.

2. Damage Deposit

2.1. A damage deposit (typically $250–$1,000) may be required.
2.2. The damage deposit is refundable after NBCC Venue staff completes a post-event inspection confirming:

  • No property damage

  • No excessive cleaning needs

  • No policy violations
    2.3. NBCC Venue may withhold part or all of the deposit for:

  • Repair costs

  • Deep cleaning

  • Extended rental time

  • Violations of venue rules

A detailed explanation will be provided if any portion of the deposit is retained.

3. Rental Payments

3.1. All rental fees must be paid in full no later than 48 hours before the event.
3.2. Payments are non-refundable once the event date is within the 48-hour window.
3.3. Late, declined, or missing payments may result in cancellation without refund.
3.4. Events will not begin or receive access to the venue until full payment is received.

4. Event Cancellations by Client

If the client cancels the event:

  • More than 14 days prior:
    Deposit may transfer to a new date (one-time courtesy), but no cash refunds will be issued.

  • Within 14 days:
    Deposit is forfeited; no refund or transfer.

  • Within 48 hours:
    Full rental balance (if already paid) is non-refundable.

5. Event Cancellations by NBCC Venue

NBCC Venue may cancel an event due to:

  • Safety concerns

  • Emergencies

  • Facility damage

  • Policy violations

  • Illegal or abusive behavior

  • Situations beyond our control

If NBCC Venue initiates the cancellation for reasons not caused by the client, one of the following will be offered:

  • A full or partial refund, OR

  • A free transfer to a new available date

Refund decisions depend on the nature and timing of the cancellation.

NBCC Venue is not liable for external expenses such as décor, vendors, travel, or purchased goods.

6. No-Show Policy

If a client fails to arrive for their scheduled event without prior notice:

  • All payments are forfeited

  • No refunds or rescheduling will be provided

7. Refund Processing Time

Approved refunds or deposit returns may take 7–14 business days to process, depending on payment method and bank processing times.

8. Force Majeure (Uncontrollable Events)

NBCC Venue is not responsible for cancellations caused by events outside human control, such as:

  • Natural disasters

  • Power outages

  • Severe weather

  • Government restrictions

  • Public emergencies

Refunds or rescheduling options may be offered at NBCC Venue’s discretion.

9. Acceptance of Policy

By booking, signing the rental agreement, paying a deposit, or entering NBCC Venue, you acknowledge and agree to this Refund Policy.
